What is a Dimona?
A Dimona is a mandatory, electronic message by which the employer notifies the National Social Security Office (NSSO) that an employee is entering or leaving employment. This applies to all types of employees such as permanent employees, flexi-jobbers, students and temporary workers.
When do I have to file a Dimona declaration?
With every employee starting or quitting, you must file a Dimona via the NSSO's online portal. This must always be done before the start of employment. For changes (e.g. a cancellation or an adjusted shift), the same applies: change before the start of the working day. For someone leaving employment, you must do so at the latest on the first working day following their last working day.
What about flexis and job students and temporary workers?
Do you work with flexi-jobbers, job students, casual workers or seasonal workers using a day contract? Then you must file a Dimona declaration every working day. Does an employee unexpectedly not show up? Then you can cancel the Dimona the same day, ideally before the start of the working day.
Do you work with temporary workers? Then the temp agency will take on Dimona declaration. But beware! You pay a serious additional cost for outsourcing the administration. This is often in the form of a margin on gross pay, on average 15 to 30%.
As an employer, can I file a Dimona declaration myself?
Yes, you can do so via the NSSO website. You can also outsource it to a social secretariat or employment agency, admittedly at an additional administrative cost.
What happens if I file a Dimona declaration late or not?
Failing to file a Dimona or filing it late can result in a fine or legal action. The NSSO may also demand a solidarity contribution, amounting to thousands of euros. Moreover, you lose the right to advantageous contributions for students, flexi-jobbers or extras if you do not file the Dimona on time. So filing your Dimona declaration on time is the message!
